1. Information We Collect
Information you provide directly
- Account & registration data — name, email address, password, and organization name when you create an account.
- Billing information — payment card details, billing address, and transaction history. Card data is processed and stored by our payment processor (Stripe, Inc.) and is not stored on our servers.
- Business configuration data — service descriptions, service areas, knowledge-base entries, escalation rules, and any other content you add to your account.
- Communications — messages you send to our support team or through any in-product feedback mechanism.
Information we collect automatically
- Usage data — pages visited, features used, timestamps, and clickstream data.
- Device & log data — IP address, browser type and version, operating system, referral URL, and error logs.
- Cookies and similar technologies — we use session cookies necessary for authentication and, with your consent, analytics cookies. See Section 6 for more detail.
Call and voice data
When an AI phone agent provisioned through our platform handles a call, we may collect and store call metadata (duration, timestamps, caller phone number) and, depending on your account configuration, call transcriptions or recordings. You are responsible for ensuring your end-callers are informed about and consent to any recording or transcription, as required by applicable law.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the Services.
- Process payments and manage your account balance.
- Send transactional emails such as receipts, password resets, and service notifications.
- Respond to support requests and troubleshoot issues.
- Monitor for fraud, abuse, and security incidents.

We do not use your business configuration data or your customers' call data to train AI models for any purpose other than operating the features you have enabled for your account.

Service providers
We engage trusted third-party vendors to help us operate the Services, including cloud hosting, payment processing, telephony, and analytics. These providers access your data only to perform services on our behalf and are contractually bound to keep it confidential.

- Twilio Inc. — telephony and phone-number provisioning
- Anthropic, PBC — AI model inference for voice-agent responses

Business transfers
If Nejix is involved in a merger, acquisition, or sale of all or substantially all of its assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on the Services before your data is transferred and becomes subject to a different privacy policy.
Legal requirements
We may disclose your information if we believe in good faith that disclosure is necessary to comply with applicable law, respond to a valid legal process, protect the safety of any person, or enforce our Terms of Service.
With your consent
We may share your information for any other purpose with your explicit consent.
4. Data Retention
We retain your account and configuration data for as long as your account is active. If you close your account, we will delete or anonymize your personal information within 90 days, except where we are required to retain it for legal, tax, or audit purposes.
Call metadata and transcriptions are retained in perpetuity by default. You may delete individual records earlier through your account settings.
5. Data Security
We implement industry-standard technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These include encryption in transit (TLS) and at rest, access controls, and regular security reviews.
No method of transmission over the internet is completely secure. We cannot guarantee absolute security, but we will notify you as required by law if a breach affecting your personal data occurs.
6. Cookies
We use the following categories of cookies:
- Strictly necessary — required for authentication and to keep your session active. These cannot be disabled without breaking core functionality.
- Analytics — help us understand how visitors use the Services (e.g., pages visited, session duration). We use these only with your consent.
